This policy explains what personal data we collect when you use IT Leaders Network, why we collect it, how long we keep it and what rights you have.

Who we are

The site is run by IT Leaders Network. We are the controller of your personal data.

For anything about your data, email [email protected].

What we collect

When you apply to join

  • Your name, email address, job title, the country you're based in and a link to your LinkedIn profile.
  • Your password. We never store it; we store a one-way hash that can check it but can't be turned back into it.

When you use the site

  • When you last used the site while logged in.
  • Your IP address when you log in, apply, register as a recruiter or reset a password, so we can limit repeated attempts and stop people guessing passwords.
  • When you log in, apply, register as a recruiter or reset a password, a security check from Cloudflare (Turnstile) makes sure you're a person rather than an automated program. It uses your IP address and details of your browser and device.
  • A record of the emails we send you (address, subject and whether it was sent).
  • A record of actions taken on your account, such as confirming your email or being approved.
  • If you agree to analytics cookies, how you use the site, through Google Analytics. See our cookie policy.

When you use the forum

  • What you post, and your votes, reactions and reports.
  • Notifications we show you on the site when someone replies to you or mentions you.
  • Other members can see your name and job title next to your posts, and your country, when you joined and your recent posts on your member profile. They can't see your email address or your LinkedIn profile.

When you use the jobs board

  • The jobs you save, and the job alerts you set up: the search, the filters, how often, and when we last checked for new jobs.
  • We count how many members view each job and click to apply, without recording who. Agencies see those totals for their own jobs, never who looked or clicked.
  • When you apply for a job, you do it on the agency's or employer's own website, or by email to them. Your application goes to them, not to us, and their privacy notice covers it.

If you register as a recruiter

  • Your name, work email address and password (stored as a one-way hash, as for members), your agency's name and website, and when you agreed to our Recruiter Terms of Business.
  • The agency you belong to and your role in it. The person who runs your agency's account can see your name and email address; other recruiters in your agency can see your name.
  • The jobs your agency posts, who posted each one, and how many members viewed them and clicked to apply.

If you submit an event

Anyone can submit an event, with or without an account.

  • Your name and email address. We use them only to contact you about the event you sent, and we don't show them on the site. The event's details are published once we approve it.
  • Your IP address, so we can limit repeated submissions, and the same Cloudflare security check as on the log-in form.

Jobs from employers' own sites

Some jobs come from CleanJobData, which collects job adverts from employers' careers sites. Along with each advert it sends details of the employer, which can include the names, job titles and LinkedIn links of some of its staff. We don't keep those: we store only the employer's name and the advert. We don't send CleanJobData anything about you.

Who we share it with

We don't sell your personal data, and we don't use it for advertising. We don't give members' details to recruiters or agencies: if you apply for a job, you send your details to them yourself. We share personal data only with:

  • Our web hosting provider, Unlimited Web Hosting, which runs the servers the site and its database live on. The servers are in the UK.
  • Cloudflare, which sits in front of the site to protect it and keep it fast, so every visit passes through it. It also runs the security check on the log-in, application and password reset forms, and the form for submitting an event, and uses what the check collects only to tell people from automated programs and to improve that detection. Cloudflare may process data in the United States, covered by the UK Extension to the EU-US Data Privacy Framework.
  • Google, which serves the fonts the site uses (your browser sends Google your IP address when it loads them) and, if you accept analytics cookies, provides Google Analytics. Google may process this data in the United States, covered by the UK Extension to the EU-US Data Privacy Framework.
  • Anyone we are legally required to share it with, such as the police with a valid legal request.

How long we keep it

  • Your account, for as long as you use it. Accounts that haven't been used for 12 months are deleted, after warning emails at 11 months and a week before.
  • If you delete your account, we close it straight away and delete it 14 days later. Logging in during those 14 days cancels the deletion.
  • If your application isn't approved, we delete your details straight away.
  • If you apply or register but never confirm your email address, we delete your details 7 days later.
  • Login attempts and records of repeated attempts: 30 days.
  • Records of emails sent, of account actions, and of when you downloaded your data or asked for your account to be deleted: 12 months.
  • Forum notifications: 90 days.
  • Saved jobs and job alerts: until you remove them or your account is deleted.
  • Events you submit: we delete your name and email address 30 days after the event ends. Events we decide not to publish are deleted when we decide, or 30 days after the event if we haven't. Published events stay on the site, as past events once they've finished.
  • Jobs a recruiter posted stay with their agency after the recruiter's account is deleted, without their name. A recruiter who runs their agency's account hands it to the colleague who has been in the agency longest.
  • Your forum posts stay after your account is deleted, so conversations still make sense, but they're shown as by "Former member", and mentions of you in other members' posts become "@Former member".

Your rights

You have the right to:

  • get a copy of the personal data we hold about you;
  • have it corrected if it's wrong;
  • have it deleted;
  • object to, or ask us to restrict, how we use it;
  • receive it in a format you can take elsewhere;
  • withdraw your consent to analytics cookies at any time, using the cookie settings link at the bottom of every page.

Members and recruiters can do some of this themselves, from their account page: download a copy of their data (account, profile, forum posts, votes, reactions, reports, notifications, saved jobs, job alerts and, for recruiters, their agency details), correct their details, and delete their account.

For anything else, or if you'd rather ask us, email [email protected]. We'll reply within one month. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.

Changes to this policy

We'll update this policy as the site adds features, such as payments for posting jobs and CV search. The date at the top shows when it last changed, and we'll email members about significant changes.
